Case study
At an equipment rental company, rental contracts needed to be placed in
filing cabinets, which was very demanding in human resources. These
contracts were produced in three copies by customized software on dot matrix
printers. We analysed the contracts and concluded that 2 copies were
sufficient - one copy for the customer and one to be scanned with the
customer's signature and any employee's notes.
We redesigned the form so it will print on a laser printers in 2 copies
of 8 1/2" x 7" with a barcode on a single sheet of legal format
paper. The top half is given to the customer and the the bottom half is
kept, to be scan later. At the same time as that the hardcopy is printed an
electronic copy is sent to Quaero and automaticaly archived with all the
metadata.
Each day the signed bottom halves of the form are scanned and Quaero
pairs these documents to the originals using the barcode. Quaero then
generates an exception report to help find any missing documents.
